The viewing ends. The owner asks: “How did it go?”
You’ve just said goodbye to the client. During the viewing they asked about the light, lingered longer in one room and asked for a document. Soon the owner’s message arrives. To answer well, though, you need to tell what you saw apart from what you’re interpreting.
If your notes, the client’s request and the information about the property are scattered, the easiest reply is also the least useful: “interested, I’ll keep you posted”. It doesn’t clarify whether there is a real obstacle, information to retrieve or a second meeting to propose.
The report
What makes feedback useful to the owner?
There’s no need to turn every viewing into a long write-up. Three levels, kept separate, are enough to stop impressions and facts ending up in the same sentence.
The method
Record first. Then interpret with caution.
As soon as the viewing is over, note the facts while they are still fresh. Only afterwards link the observations to the client’s request and to the property. A question about running costs, for example, doesn’t prove on its own that the price is an obstacle: it points to information that needs clarifying.
In the update to the owner you can open with the facts, add the signals expressed and close with what you’ll do next. If the client hasn’t replied, say so. If a document is needed, assign it a follow-up. The report then becomes a basis for deciding, not a final verdict on the viewing.
